FAQ — PowerFlow | Microsoft Power Platform Questions Answered

Question 1

What does a typical engagement with PowerFlow look like?

Accepted Answer

Most engagements begin with a Discovery workshop — a structured 1–2 day session where we map your current processes, identify automation opportunities, and define success metrics. From there we move into Design, Build, and Deploy phases. We keep you involved throughout with regular demos and check-ins, so there are no surprises at go-live.

Question 2

How long does a typical project take?

Accepted Answer

It depends on scope. A focused Power Automate workflow can be live in 2–3 weeks. A full Power Apps solution with integrations typically takes 6–10 weeks. Enterprise-wide Copilot rollouts usually run 8–12 weeks including governance setup and training. We'll give you a realistic timeline after the Discovery phase.

Question 3

Do we need to have existing Microsoft licenses?

Accepted Answer

You'll need the appropriate Microsoft licenses for the products we deploy — Power Platform, M365, or Copilot. We can advise on the right licensing tier for your needs, and in many cases organizations already have licenses they're underutilizing. We don't resell licenses directly, but we work closely with Microsoft licensing specialists who can help.

Question 4

What's the difference between Power Automate and Power Apps?

Accepted Answer

Power Automate is for automating processes and workflows — moving data between systems, sending notifications, triggering approvals, and eliminating repetitive manual tasks. Power Apps is for building custom applications — forms, portals, mobile apps, and internal tools — without heavy coding. They work best together: a Power App captures data, and Power Automate handles what happens next.

Question 5

Can Power Platform connect to our existing systems?

Accepted Answer

Yes. Power Platform has over 1,000 pre-built connectors for common systems including Salesforce, SAP, ServiceNow, Dynamics 365, SharePoint, SQL Server, and many more. For systems without a native connector, we can build custom connectors using REST APIs. If your system has an API, we can connect to it.

Question 6

Is Power Platform secure enough for sensitive data?

Accepted Answer

Absolutely. Power Platform is built on Microsoft Azure and inherits enterprise-grade security including data loss prevention (DLP) policies, role-based access control, Azure Active Directory integration, and compliance certifications including FedRAMP, HIPAA, ISO 27001, and SOC 2. We've successfully deployed solutions for federal agencies and regulated industries.

Question 7

What is Microsoft Copilot and how is it different from ChatGPT?

Accepted Answer

Microsoft Copilot for M365 is an AI assistant embedded directly into your Microsoft 365 apps — Word, Excel, Teams, Outlook, and SharePoint. Unlike ChatGPT, it has access to your organization's actual data (with your permissions), so it can summarize your meetings, draft emails in your voice, analyze your spreadsheets, and search across your documents. It's grounded in your business context, not just general knowledge.

Question 8

What does a Copilot readiness assessment involve?

Accepted Answer

Our readiness assessment evaluates four areas: licensing and technical prerequisites, data governance and security posture, SharePoint and M365 content hygiene (Copilot is only as good as the data it can access), and organizational change readiness. We deliver a prioritized action plan so you know exactly what needs to happen before rollout.

Question 9

How do you ensure Copilot doesn't expose sensitive data?

Accepted Answer

Copilot respects existing Microsoft 365 permissions — it can only surface content a user already has access to. Our governance framework includes sensitivity label reviews, permission audits, and DLP policy configuration to ensure the right guardrails are in place before rollout. We also provide training so users understand what Copilot can and can't see.

Question 10

How do you price your services?

Accepted Answer

We offer three engagement models: fixed-price projects (ideal for well-defined scopes), time-and-materials (for exploratory or evolving work), and retainer-based ongoing support. Most initial projects are fixed-price after the Discovery phase, so you know exactly what you're committing to. Contact us for a tailored estimate.

Question 11

Do you offer ongoing support after a project is delivered?

Accepted Answer

Yes. We offer flexible support retainers that cover bug fixes, enhancements, user training, and proactive monitoring. Many clients start with a 3-month hypercare period post-launch and then move to a lighter ongoing retainer. We're not a build-and-disappear shop — long-term partnerships are how we do our best work.

Question 12

Can you work with our internal IT team?

Accepted Answer

Absolutely — in fact, we prefer it. We work alongside your internal teams, transferring knowledge throughout the engagement so your team can maintain and extend solutions after we're done. We can also provide training workshops and documentation tailored to your team's skill level.
